1. Your Rights
1.1 The rights you have
Under Botswana's Data Protection Act, 2024 you have the right to be informed about how we use your information; to access it; to have inaccurate information corrected; to have information erased in the circumstances the law allows; to restrict how we use it; to receive it in a portable form where applicable; to object to processing, including direct marketing; to withdraw a consent you gave; and not to be subject to a decision based solely on automated processing. We do not make solely automated decisions about applications. Every application is assessed by a person.
1.2 Withdrawing consent
Where we rely on your consent, which is optional marketing and non-essential analytics, you can withdraw it at any time. Withdrawing marketing consent has no effect whatsoever on your application or your studies. It does not stop operational messages about your application, fees, assignments or examinations, which we send to administer your programme and which you cannot opt out of while you have a live application or enrolment.
1.3 Stopping marketing
Use the unsubscribe link in any marketing email, or write to us. We will action it promptly and permanently.
2. How to Make a Request
Email info@iab.co.bw with 'Data request' in the subject, or write to us at Lot 102, Unit 1, Light Industrial Commerce Park, Gaborone, Botswana. Tell us what you want us to do, and give us enough to find your record: your full name, the email address or phone number you used, and your application reference if you have one. A dedicated privacy mailbox is planned and this page will be updated when it is live. You can also use the form below.
3. Identity Verification
We check identity in proportion to what is being asked for. For most requests, confirming details we already hold, or replying from the email address on your application, is enough. We will ask for stronger proof only where a request covers sensitive information or a copy of an identity document, and we will explain why. Please do not email us a copy of your Omang or passport unless we have specifically asked for it.
4. How We Respond
We acknowledge your request when we receive it. We check we can identify you, work out which rights apply and whether any exception is relevant, and then respond. We act without undue delay, and aim to respond fully within one month. If a request is complex, or you have made several, it may take longer; if so we will tell you within the first month, explain why, and give you a date. We are confirming the exact statutory deadline and any permitted extension with our legal advisers and will state them here. Requests are free.
5. When a Request May Be Limited
Rights are not absolute, and some requests we cannot fully grant. We may have to keep financial records for the period tax and company law requires; academic and assessment records so we can verify an award we have made; and records needed to establish, exercise or defend a legal claim, including an account in arrears. Where the law allows it, we may also charge a reasonable fee for a request that is manifestly unfounded, excessive or repetitive, or refuse it. Where we cannot do what you ask, we will tell you which of these applies and why, rather than simply refuse, and we will tell you how to challenge the decision.
6. Complaints
Tell us first. Email info@iab.co.bw and we will look at it again. You also have the right to complain to Botswana's Information and Data Protection Commission at any time. We have not reproduced the Commission's contact details here rather than risk publishing details we have not verified; they are available from the Commission's own published material.
